A voucher booklet allows you to sell a set number of uses for a product in advance, at a fixed price. For example: **10 entries for €100**. The customer pays €100, receives **a single code**, and this code is **valid 10 times** on the product in question. This is the answer to needs such as: * 10-session group class pass, * booklet of 5 entries to the swimming pool / climbing / treetop adventure course, * "20 descents" subscription for one activity, * Package of sessions sold at a preferential rate compared to a single session. > **Since version 11.9 (August 2026).** Previously, this need was addressed by misusing the **prepaid package**, which resulted in incorrect pricing and an inaccurate remaining session counter. The voucher book is now the official mechanism: see Voucher Book or Prepaid Package? *** ### Operating principle A notebook is not a new type of product: it's a **gift voucher with multiple uses**. It is created in the same "Gift Voucher" section of a product, with an additional field: **Included Uses**. | Included uses | Result | | ------------------- | ------------------------------------------------------ | | `1` (default value) | Classic gift voucher: 1 code, 1 use | | `10` | Notebook: 1 code, 10 uses, sold at the price indicated | Key points: * **The price entered is the price of the entire pass**, not the price of a single session. "10 entries for €100" is set to a price of **€100** and includes 10 uses. * The purchase generates **only one code**, regardless of the number of uses. * Each time a booking is paid for with this code, the remaining usage counter **decreases**. If the booking is cancelled, the usage is **refunded**. * The passbook price **replaces** the session price at the time of booking, including any discounted or seasonal rates. * The **validity date** applies to the entire booklet: upon expiry, any unused uses are lost. *** ### Create a coupon book 1. **Log in to Yoplanning.pro.** 2. Menu **Administration** → **Products**. 3. Open the **three small dots** menu in the top right corner of the product in question, then **edit the product**. 4. In the **“Gift Voucher”** section, click on **Add a voucher** and enter the following information: * the **name** of the voucher, as it will be seen by the customer (e.g., "10-entry ticket booklet"); * the **price**: the price of the complete notebook (e.g. €100); * the **validity** in number of months (empty = no expiry); * **Included uses**: the number of times the notebook is used (e.g., 10). Accepted values: from 1 to 999. 5. *(Optional)* **Multi-product** section: enter a **product tag** so that the notebook can be used on all products with that tag, and not just on the current product. 6. In the **“Online Sale”** section, check the **online sale of vouchers** option if you want the booklet to be purchasable from your booking module. 7. **Save.** Once registered, the voucher appears in the product's voucher list with the mention **"10 uses per voucher"**. > **The "Included Uses" field is not appearing?** You are probably editing a **prepaid plan** (credit-type product). This field is reserved for vouchers linked to a product; on a prepaid plan, it is hidden and forced to 1. *** ### Selling a book of vouchers #### Online, via the booking module If online sales of vouchers are enabled, the booklet is offered like any other gift voucher. The customer: 1. chooses the notebook, 2. pay the price of the notebook, 3. receives his **ticket with a unique code**. The customer can buy **multiple notebooks** in the same order: they will then receive one code per notebook. #### At the counter The counter service uses the same booking module, connected to your account. Selling a booklet is done there exactly as online. #### Available for manual sale via order 1. Open an existing order, or create a **blank order** (menu **Orders** → three dots → **Create a blank order**) and enter the customer information. 2. Click on **“Sell a voucher”**. 3. Select the correct one corresponding to the booklet. The price field then displays **"Price for 10 uses"**: this is indeed the total price of the booklet. 4. Validate, collect payment and send the **ticket** to the customer. > In manual sales, you sell **one notebook at a time**: the Quantity field is filled with the number of times the notebook can be used. To sell two notebooks to the same customer, repeat the process. *** ### Use a notebook #### By the customer, online 1. The customer books their activity normally through your booking module. 2. At the last step, before payment, he enters the **code from his booklet** in the field provided for codes. 3. The booklet fee applies and the corresponding number of uses is deducted. #### By you, from the schedule 1. Create the order with the usual services. 2. At the payment stage, click on **“Use a voucher”** under the *Add a payment* button. 3. Enter the **code** of the notebook (or the name of the customer who holds it) and validate. #### What you need to know * **One code can cover multiple participants in the same order**, up to the limit of remaining uses. Example: a family of 3 people on a booklet of 10 → 3 uses deducted with a single code entry. * **The same code cannot be entered twice in the same order.** If you need to make an adjustment, modify the order rather than re-entering the code. * **The notebook is used on the product to which it is attached**, or on any product bearing the tag specified in the Multi-products section. * **The pass price takes precedence over the session price**, including a sliding scale price: the price charged is the unit price of the pass (price of the pass ÷ number of uses). * **In case of cancellation** of a reservation paid for with the booklet, the uses concerned are returned to the booklet. *** ### Track remaining uses Your team's **Vouchers** menu lists all issued vouchers, including booklets. For each notebook, you see: * the **code**, * the **client**, * the **expiration date**, * the **status**: *Valid*, *Partially Used*, *Used* or *Expired*, * the counter **“Remaining: 7 / 10”**. You can filter by customer, product, period, or status, and search directly for a code. Data export retrieves the **initial quantity**, **remaining quantity**, and **residual value** columns, useful for accounting purposes related to prepaid sales. > The **“Used”** status filter is based on the fact that at least one use has been made: a notebook that has been started but not exhausted will appear. Refer to the “Remaining: X / Y” counter for the line to determine the actual status. *** ### Voucher book or prepaid plan? Both are sold in advance, but they don't count the same thing. | | **Book of vouchers** | **Prepaid package / gift certificate** | | ---------------- | ----------------------------------------------------------------- | --------------------------------------------- | | What is deducted | A **number of uses** | An **amount in euros** | | Perimeter | The product of the voucher (or products bearing its tag) | Any product sold online | | Price applied | The price of the booklet, which replaces the price of the session | The standard session fee, paid with credit | | Visible counter | "Remaining: 7/10" | Balance in euros | | Remainder | Unused items are lost upon expiration. | Unspent balance in euros | | Typical use case | 10-session pass, entry booklet, course pack | Cashback, gift of any amount, customer credit | **In practice:** As soon as you sell *a number of sessions* for an activity, use a **voucher book**. Reserve the prepaid package for cases where you are selling *a sum of money* to be spent freely. *** ### Common mistakes and solutions | Message / symptom | Cause | Solution | | --------------------------------------------------------------------------------- | --------------------------------------------------------------------------------------- | ------------------------------------------------------------------------------------------------------------- | | **"Already used"** | The notebook is no longer available for use. | Check the counter in the **Vouchers** menu. Sell a new booklet if needed. | | **" Expired "** | The booklet's expiry date has passed. | The validity applies to the entire booklet. Change the voucher's expiry date if you wish to offer a discount. | | **"This voucher does not correspond to any item in this order"** | The reserved product is not the one in the notebook, and does not bear its product tag. | Check the product on the voucher, or enter a product tag in the Multi-product section of the voucher. | | **"The quantity of the voucher does not correspond to the quantity of the item"** | The command requires more uses than there are left in the notebook | Reduce the number of participants on the order, or supplement with another payment method. | | **The "Included Uses" field is missing** | You are editing a prepaid plan (credit product) | Create the voucher from the product details page, not from a prepaid plan. | | **The booking book does not appear on the booking website** | Online sales of vouchers are not enabled for this product. | **Online Sale** section of the product sheet: check the box for online sale of vouchers. | *** ### Best practices * **Clearly announce the contents of the booklet** in its name: "10-entry booklet - adult" is more descriptive than "Booklet". * **Set a validity period consistent** with your season. A blank validity period means "no expiration": uses remain due indefinitely. * **Test before the commercial opening**: sell yourself a booklet, use one transaction, check the "Remaining" counter and the price applied to the order. * **Communicate the conditions** of use: scope of products concerned, expiry date, no refund for unused products. --- # Agent Instructions This documentation is published with GitBook.
